Microsoft Outlook Setup

Outlook for Windows is a more sophisticated and expensive email management tool.

Note:  SIL Google Admin does not support Outlook for Mac and does not recommend its use with Google Mail due to technical issues we have been unable to resolve.

Note: Because very few email clients are considered secure enough by Google, you will probably need to enable "Access for less secure apps" option or Microsoft Outlook will be unable to connect to your Google Apps account.  For more information, click here.  To go to your account settings now, click here and scroll towards the bottom of the page.

With Google's G Suite Sync for Microsoft Outlook (GSSMO, formerly labeled Google Apps Sync for Microsoft Office) software (which appears in Outlook as a MAPI client), Outlook can sync your inbox, mail folders, calendars, contacts and more.  Additionally a corporate address book is automatically installed.  Network performance between GSSMO and IMAP will be very equivalent. There is little reason to use IMAP (which only synchronizes your email) for a Google Apps account if you are connecting to a single Google Apps account.  Only if you are accessing additional Google Apps accounts would you use IMAP for those other accounts.

  1. Using GSSMO, a new Outlook profile is created.  Therefore, install GSSMO before beginning configuring any other accounts that you intend to set up in the same profile, whether other Google Apps accounts or any personal email accounts.
  2. Google Sync will automatically run and prompt for the email address for the Google Apps account.  It will then launch your default browser, prompt you for the account password, and present a 'permissions' webpage.  Scroll to the bottom and choose "Accept"
  3. Google Sync will then present a window in which, in normal cases, you should simply need to select the "Create profile" option.  Google Sync will then ask if you want to open Outlook.
  4. When you open Outlook, a new profile with this single Google Apps account will be used.  The Google Sync status window will be displayed showing the status of synchronization between your account and Outlook.  You can deselect the "Show" option (bottom left) so that this does not display each time you open Outlook.  (This status window is always available using the Google Sync icon in the System Tray.)
  5. Any additional email accounts may now be added to your Outlook profile.

IMAP
  1. In Outlook, select File -> Add Account
  2. Select Manual setup or additional server types and click Next
  3. Select POP or IMAP and click Next
  4. Complete the form using the IMAP information found on our IMAP/POP3 Settings page.  Remember to change the Account Type default to IMAP
  5. Select the "More Settings.." option to finish entering settings.  Click OK when done here.
  6. Click Next. Click Finish and then Close.

POP3 (not recommended except when your internet connection is very unstable, slow, expensive)
  1. In Outlook, select File -> Add Account
  2. Select Manual setup or additional server types and click Next
  3. Select POP or IMAP and click Next
  4. Complete the form using the IMAP information found on our IMAP/POP3 Settings page. 
  5. Select the "More Settings.." option to finish entering settings.  Click OK when done here.
  6. Click Next. Click Finish and then Close.
  • If you are accessing a POP3 account from multiple computers, you will need to use Google's "recent" mode.
  • If you are using POP3, you are well-advised to create a Google filter (aka rule) to force all spam into your online Inbox so that it is downloaded to the email client, just in case Google thought an email was spam but it wasn't (called a false positive).
  • Because POP3 may be used because of very, very slow internet connections, connection time out should be increased to over 3 minutes (even higher).
