SIL Global Technology and Information Services (GTIS) regularly reviews our services, platforms, and systems in order to ensure that our service offerings are serving the real needs of SIL and not holding the organization back from doing what it needs to do. As part of this initiative we have spent time evaluating our communications platform, especially the security and privacy of various options, including our own operations. Based on our research and analysis we determined that the corporate class of email services offered by Google (G Suite for Nonprofits) was a good fit for the needs of SIL. Ultimately, we are moving to Google Apps to enhance SIL's ability to communicate and to facilitate collaboration between organizations using a state-of-the-art widely used platform.
G Suite is a suite of Web-based messaging and collaboration applications that Google hosts on their own servers. Google provides these applications as a "service," rather than as software you have to download and install. To access these applications, you simply use a Web browser on any computer with an Internet connection.
More collaboration features — With Google's next-generation applications, we can collaborate with colleagues and partners more easily and efficiently than ever before — even if they are outside of our organization, if we so choose, such as in partnering relationships with those in other organizations who use G Suite.
Real-time collaboration — Using Google Drive, you can create documents, spreadsheets, presentations, drawings, instant messaging, and more, that you and your team can view and edit at the same time. You can still use your Microsoft Office or other products as needed, but now you'll have more options for storing and collaborating on your documents.
Easier calendar sharing — Google Calendar lets you and your team quickly and easily share your calendars with each other and specify the details you want to show. Calendar sharing is a great way to keep each other informed about your schedules. Now it's easier than ever to find out if someone is in a meeting, on a business trip, or on vacation.
Innovative solutions — We can leverage the ongoing creative and technical solutions of the Google Apps platform to provide staff with powerful, easy-to-use tools for getting their work done.
Good integration with mobile devices — Google does a good job of providing tools and Web accessibility on a variety of popular smartphone and tablet operating systems - iOS, Android, Windows Phone, Blackberry, etc.
Lots of storage — You get a full 30 GB of online storage for your email and other apps (much more than what you have now), so you can archive all of your email online. You'll no longer need to worry about deleting messages or saving them in offline folders because you hit your email quota.
Highly scalable environment — With G Suite, our email capacity will grow automatically as our organization grows, and we'll avoid the complexity of internal systems.
Lower support costs — Because Google hosts the email and calendar services, there's no more email client software to maintain on your computer. While using Outlook, Thunderbird or other SIL-supported email clients are still options, many people will find that Google's Web-based software meets their needs very well.
Lower infrastructure costs — We no longer need to maintain email servers and the related equipment on-site.
